Frequently Asked Questions
We get asked a lot of questions—and we ask even more.
Running a business today is a puzzle of systems, strategy, and people—and let’s be real, sometimes it’s hard to know where to even begin. We believe there are no stupid questions, just honest ones—and we’d rather you ask than guess. Here are a few common ones we get, answered like we wish someone had done for us years ago.
Strategy & Business Modernization
Clear direction starts here. We help businesses plan smarter, set priorities, and modernize operations for long-term growth and resilience.
-
We build roadmaps, strategic ones among them, as a practical plan that outlines where you’re going and how to get there (and likely why). It really focuses on what should be done in what order, and how to make sure you are always headed in the right direction as you encounter new information and real results.
-
We see the vision is where you want to go, a clear idea of the desired future state that we can all agree to.
The strategic plan is all of the things that need to be done, the resources needed, the people involved and what success looks like.
A Roadmap can be quite similar to a plan but it has stronger prioritization of what should be done in what order and directional points where the plan should be re-adjusted based on things learned or initial results. -
You usually feel it before you name it—processes break down, tools don’t talk to each other, or your team builds workarounds. We help uncover those pain points and their underlying causes through assessments, interviews, and mapping current processes to identify the biggest opportunities for improvement.
Most improvement projects start with an assessment to make sure we’re focused on what’s most valuable for long-term, future-focused results
-
Digital transformation is often about adopting new technologies.
Business modernization looks more broadly at systems, processes, people, and tools—focusing on what actually makes your organization work better, not just newer.
While we often help companies with technology, we always take a broader view and human-first perspective to business improvement. -
We don’t pretend it's easy.
The key is breaking big goals into smaller, doable steps. We work with you to set direction and make progress—even if it’s not perfect.
Keeping momentum and communications open, even when other priorities come up, is our focus to make sure we see you to the finish line. -
Absolutely. In fact, that’s often the best time to bring us in.
We help clarify your goals, evaluate options, and design a roadmap based on your needs and goals—not just available software.
You’re not alone in feeling unsure. Most of our clients start with questions, not answers.
We believe in starting out “Technology Agnostic”. We help sort through the noise, map out what matters, and recommend tools only when it makes sense.
Technology & Digital Adoption
We guide teams through technology selection and changes with practical tools, training, and systems that support adoption—not resistance.
-
We work with a wide range of platforms—including CRMs, project management tools, digital form builders, websites, booking systems, and more.
We’re technology-agnostic, which means we help you find and implement the tools that actually fit your needs—not just the ones that are trendy or vendor-pushed.
Sometimes we work directly with tools we know well—like websites, monday.com, Zoho, Asana, or Google Workspace.
More often, we work as your integration or change partner, working with another technology partner or vendor that we either found with you or have in our network. We act as the project leads between your busy team and the technical folks, sometimes multiple vendors in a larger project.
Regardless of whether we have a technical partner or not, we own making sure you that you have good training, documentation and real results before we leave you on your own. -
It’s more than just launching a tool. A good adoption plan maps out why the tool matters, how your team will use it, what support they’ll get, and what success looks like. And yes—we help with all of that.
A strong digital adoption plan includes:Clear goals and priorities
The right tools for your business
A rollout strategy and communications plan that supports your team
Hands-on training and documentation
Ongoing support to keep momentum going
-
When things feel harder than they should—manual steps, missed details, or a frustrated team—it’s usually a sign your tools aren’t working for you.
However, needing new software doesn’t always start with a problem—it often starts with a goal. Maybe your business is growing, shifting direction, or aiming for more automation.
Also, often it’s not about adding new tools—it’s about configuring the right stack, or getting more out of what you already have. We help you assess what’s working, what’s missing, and what makes the most sense moving forward.
-
We take it step by step. From pilot testing to tailored training and documentation, we make sure the rollout fits your team’s pace—not a one-size-fits-all approach. It’s about building confidence, not confusion.
-
You’re not alone. Failed rollouts usually come down to poor timing, lack of support, or tools that didn’t match the team’s needs. We start with a clean slate, learn from what didn’t work, and build a better path forward—together.
-
Yes. Whether you’ve already selected a tool or are halfway through implementation, we can jump in to support adoption, streamline setup, and train your team to use it confidently.
We have no ego in this, we meet you where you are and we work with you towards your goals and future potential.
Process Improvement & Automation
We simplify operations, reduce bottlenecks, and automate the stuff your team shouldn’t still be doing manually.
-
That’s more common than you think. The first step is getting it out—whether it’s whiteboards, walkthroughs, or screen recordings. We help capture and structure your knowledge so your business can grow without relying on you being in every conversation.
We call it “brain downloading” and we can make it happen much more effectively as a partner than you can on your own. -
Almost any process can be improved—but that doesn’t mean every one is worth improving right now.
We help identify the areas where change will deliver the most value: reducing errors, saving time, cutting costs, or improving quality.
And before we talk about automation, we make sure the process is clear, stable, and actually working. Automating chaos just creates faster chaos. -
Look for the warning signs: delays, duplicated work, missed steps, or team burnout.
If you’re constantly reinventing the wheel or relying on “just ask [insert name],” your processes might be slowing you down more than you think. When your team is busy but outcomes feel inconsistent—or when small issues keep becoming big ones—it’s usually time to examine your processes as well.
We help identify friction points and redesign workflows for clarity, speed, and sustainability. -
Not at all. In fact, small and mid-sized businesses often benefit most.
A few well-placed automations can save hours a week and reduce errors—especially when your team is stretched thin.Automation isn’t about size—it’s about saving time and energy. Even simple changes like automated reminders, approvals, or form processing can make a big difference in a small operation.
We tailor the tools to fit your needs—not the other way around.
-
Spreadsheets are powerful, but they’re not designed for everything. We help assess where structured systems or automation could replace manual processes—without disrupting what’s already working well.
-
Process improvement is about making your workflows better—simpler, faster, more reliable. Automation is just one possible tool within that. We often start by improving the process, and then look for smart ways to automate parts of it.
-
Absolutely. Most businesses don’t start with clean documentation—we build it with you as part of the improvement process. All we need is your time and insights—we’ll handle the structure.
-
AI can help—but it’s not a magic fix. We focus on how AI tools can support your goals without creating complexity or confusion. If it fits your workflow, we’ll help you adopt it responsibly and get real value—not just hype.
Content & Marketing
Engaging content, simplified strategy. We help brands tell better stories, reach the right audience, and improve marketing results.
-
Marketing is how your business connects with people—and it’s more layered than most give it credit for. It’s voice, visuals, pricing, timing, emotion, content, trust. For us, it’s a deeply human and psychological process: figuring out who you’re for, how you show up, and what makes people care.
The deliverables—Videos, ads, posts, campaigns—are important. But only if they’re rooted in strategy and aligned with where you’re going. -
Our creative team is an original strength of our early days and we still specialize in high-quality, high-impact video—the kind that takes planning, scripting, lighting, locations, and editing to get right. These are usually bigger investments with longer-term value, like brand stories, service explainers, recruitment videos, or flagship campaigns.
That said, not every need requires a full production. We often advise clients when a simple phone video or social reel is the better fit—and we’ll even help set up your internal team with the tools and training to handle it in-house.
Our job isn’t to sell you video. It’s to help you use video well. -
Content creation is producing the actual materials—videos, blogs, posts, graphics. Content strategy is the plan behind it: what to create, why it matters, who it’s for, and how it all works together. We help with both—but always start with strategy.
Think of content creation as the bricks and content strategy as the blueprint. You need both, but without the plan, you’re just piling up posts. We help build with purpose. -
Yes—and we make it a collaborative process. We help you find the words that reflect who you are, what you stand for, and how you want to be remembered. The goal is clarity, not cleverness.
-
It depends on the goal. For quick updates, social engagement, or team culture, simple phone videos or reels often do the trick—and we’ll never suggest more than what’s needed. For bigger moments—like telling your brand story, attracting talent, or explaining a service—a well-produced video can go a long way.
We often help clients figure out what level of production is worth the investment. Sometimes we create it for you, sometimes we help you set up the tools to do it yourself. Either way, our focus is making sure your video works for the business—not just looks good.
-
Start with what your audience needs to hear—not what you think you should post.
We’ll help you spot content worth sharing in the work you’re already proud of, and turn your everyday expertise into material that builds trust.
Websites & Online Visibility
Your website or presence should do more than look good. We build functional, findable sites that drive engagement, visibility, and growth.
Strategy & Value of a Smart Website
-
A good-looking website is important—it builds trust the moment someone finds you. But a truly smart website goes further: it connects to your business goals and improves how you operate.
Sometimes, depending on your industry and goals, you only need a simple, clean online presence—your digital business card. And that’s completely valid. But even the simplest site today should meet certain minimum standards: strong user experience, mobile responsiveness, SEO basics, analytics, fast loading, clear navigation, and functional forms.
When we talk about building a Smarter Website, we usually mean adding functionality that actually supports your business. Examples we often design include:
Staff portals or intranets
Career sites with applicant tracking
Client portals for communications or e-commerce
Booking and scheduling systems
CRM integrations
Advanced visualization tools like 3D tours
Knowledge bases and digital libraries
Smart websites don’t just look good—they make running your business easier, faster, and more connected.
-
We can build just about any type of website—but we specialize in the ones that are a little more complex, a little more layered, and often a little more overwhelming to tackle alone.
Our sweet spot is websites that require more than just visuals or code. Maybe that’s a recruitment site with an applicant tracking system. Or a client portal that connects with a CRM. Or maybe, before we even start, we need to align stakeholders, define your strategy, or clean up your content.
In most projects, we’re not just designing—we’re leading. That means helping with planning, decision-making, integrations, and whatever else it takes to make sure the site works and gets finished. We specialize in helping organizations move from uncertainty to clarity, and from “we should really do this” to “it’s done—and it works.”
-
First, you should expect real data that you own. At a minimum, you should be able to see who’s visiting your site, where they’re coming from, how long they stay, and what pages they interact with. With a little setup, you should also be able to track whether social posts, newsletters, or ads are actually driving traffic.
From there, it’s about connecting those numbers to your goals. Do you want more inquiries? Better applicants? More efficient client communication? Your website should support those outcomes—not just sit online. We help you audit where your site stands today and make sure it’s positioned as a tool in your operation, not just a digital placeholder.
-
We don’t rebuild for the sake of it. Sometimes a refresh or restructure is all you need. Other times, starting fresh is faster and more sustainable. We’ll help you make the right call.
-
Web design is how your site looks. Web strategy is why it exists, what it’s supposed to do, and how it supports your business goals. Design without strategy is decoration.
Another way to think about it, design is the paint. Strategy is the blueprint. We help make sure your website isn’t just pretty—it’s purposeful.
Platform, Cost & Ownership
-
It depends on your goals and industry, but a good rule of thumb is a refresh every 2–3 years—and smaller updates more often. Your site should evolve as your business does. That might mean updating services, revisiting your messaging, or improving speed, SEO, and accessibility.
-
It does—but the right platform depends on your goals, your tools, and your team.
Sometimes your existing systems or future integrations help make the decision. Other times, it’s about how hands-on you want to be, or how often you might need to pivot.
We go into every project assuming we’ll choose the platform with you—not for you. We’ve built sites on WordPress (with a variety of editors and hosts), Squarespace, Wix, Weebly, and Shopify for e-commerce. What matters most is picking something that fits your needs, not ours.
-
We believe you should own your website—fully.
That’s why we guide the independent setup of your domain, hosting, CMS accounts, and any subscriptions under a client-owned email. Everything’s documented, organized, and handed off with training, login access, and guides. You don’t need to go through us to make updates.
We do offer support packages for clients who want an ongoing partner, but it’s never required. In many cases, we’ve even helped identify and train an internal team member or third-party provider to manage the site long-term. We're always here if you need us—but we make sure you’re not dependent on us.
-
It depends on what you're building. A brochure-style site might cost a few thousand. Depending on your internal skill sets you might be able to invest more time than dollars to get what you need.
A custom site with strategy, integrations, content, and functionality can run much higher, our typical smart website project starts around $15k but every project is it’s own journey.
We don’t sell websites—we build solutions that support your business. We’ll always scope it with your goals and budget in mind.
We will never sell you more than we think you can really benefit from. -
We use stock and AI when they make sense—but always with intention. If it helps reduce cost or speed things up, great. But we prioritize clarity, honesty, and content that actually connects. Nothing generic for the sake of filler.
Content, SEO & Visibility
-
We start with foundational SEO—clear structure, keyword strategy, metadata, mobile optimization, and fast performance. Then we help connect your site to the rest of your digital ecosystem: business listings, social platforms, backlinks, and more. It's not magic, but when done right, it adds up.
-
Yes—but it’s not the same SEO as 10 years ago. Today it’s less about keywords and more about clarity, performance, structure, and usefulness. We make sure your site sends the right signals to search engines and shows up when it matters most.
-
Start with the essentials: who you are, what you do, who you help, and how to get in touch. Then build from there with clear service pages, authentic storytelling, case studies, FAQs, or even short videos—whatever helps people see themselves in your story.
-
Yes—we write, rewrite, and refine. Whether you’ve got a rough draft, outdated content, or no idea where to start, we’ll help shape the words so they sound like you and work for your audience.
-
Accessibility isn’t optional—it’s part of what makes a website usable and inclusive.
That means clear structure, readable text, proper contrast, keyboard navigation, and more. We follow best practices to make sure your site works for everyone who visits it.

-
We borrow a bit from each of those worlds—but we’re not exactly any of them.
Like an agency, we lead projects, build cross-functional teams, and bring in specialists when needed. Like a freelancer, we’re flexible, collaborative, and often embedded with your team. And like a management consultant, we dig deep, ask hard questions, and help bring clarity to complex problems.
But what sets us apart is what happens after the strategy. We don’t just hand over a plan—we help get the homework done. Our preference is to pair consulting with action: change projects, process improvements, digital rollouts, and real outcomes. We’ll absolutely deliver a clear, strategic report if that’s what’s needed—but we go into every project expecting to help make something better, not just name what’s wrong.
At the core of every project is a role we’ve built ourselves: the Solutionist. It’s part account manager, part project lead, part generalist problem-solver. Our team’s job is to coordinate, guide, and adapt alongside you—and to pull in the right specialists when needed. We’re systems-minded, people-first, and built to manage complexity with calm, structure, and flexibility.
We’re not the right fit for every project—but we’re very good at helping organizations figure that out. And when we are the right fit, we bring the structure, empathy, and clarity to help move your ideas from “we should really do this” to “it’s done—and it works.”
-
We work with organizations of all sizes—but the best fit isn’t always about headcount or industry. It’s about where the leadership is and what the organization is navigating.
We’re often brought in at pivotal moments:
When a company is preparing for succession or leadership transition, and needs to reduce reliance on key individuals
When ownership wants to increase the long-term value of the business by formalizing systems and strategy
When rapid growth has led to messy workflows, patchwork tools, and burnout—and things need to be right-sized again
When a company is making a strategic shift: entering new markets, merging teams, launching a new offer, or undergoing any big change
In small and mid-sized organizations, we help clarify priorities, build roadmaps, and support the actual work of change. In larger organizations, we often lead or support major digital or operational projects—coordinating internal and external teams to get things over the finish line.
We’ve worked with:
Professional services (law, HR, consulting)
Manufacturing and trades
Tourism and hospitality
Public sector and municipal government
Nonprofits and community orgs
Education and training providers
Startups and founder-led businesses
If your organization is growing, shifting, or getting ready for what’s next—we’re built to help you get there.
-
Absolutely. That’s one of the things we do best.
Whether it’s internal staff, your existing developer, a marketing firm, or a software vendor—we’re good at playing nice in a shared sandbox. We can lead, support, translate, or troubleshoot—whatever the role calls for. And we’re often the bridge between strategy, tech, and execution.
-
That’s often the best time to bring us in.
You don’t need to know the solution—you just need to know something isn’t working or needs to change. We’ll help clarify the problem, prioritize what matters most, and build a roadmap that fits your goals, budget, and capacity. It’s totally normal to start with uncertainty. That’s what we’re here for.
-
We bring structure without adding unnecessary overhead. Our team has experience in both traditional project management and Agile (Scrum), but we usually apply a hybrid approach—one that’s adaptable and collaborative, while still grounded in clear planning, documentation, and check-in points.
Most projects benefit from a simple truth: people need to know what’s going on. We make that easy. We provide a shared client portal for self-serve updates, plan weekly check-ins, and share progress reports so you’re never left wondering where things stand. We’ll adapt our process to match your internal team’s workflows and tools—but no matter the format, you’ll always know what’s happening, what’s next, and what we need from you.
-
You can absolutely start small—and many of our best client relationships did. That might look like a short discovery engagement, a focused audit, or solving one specific workflow challenge. We’re happy to jump in where it makes sense and scale from there.
What matters to us is that the work leads to something meaningful. Even in smaller engagements, we bring structure, clear deliverables, and a roadmap forward.
And if we’re not the right fit for a lightweight fix, we’ll tell you—and often recommend someone who is.
-
We plan for change—because change is part of the process. If priorities shift mid-project, we’re ready to pause, reassess, and adjust the scope to keep things aligned with your goals. Whether it’s a small pivot or a major course correction, we’ll guide the re-scoping process so there’s no confusion or lost momentum.
For clients who know they’re heading into a dynamic or evolving project, we also offer something more flexible: our Business Improvement Partners service. It’s a monthly retainer that gives you access to strategic advising, change management, and hands-on execution support—without needing to renegotiate every time something shifts. You stay in control, steering the priorities each month, while we keep things moving with structure, dashboards, reporting, and the capacity to respond in real-time.
This model works especially well for organizations with continuous improvement goals, or complex initiatives with many moving parts. It’s not something we push broadly, but it’s been a great fit when trust is established and agility is key. If that sounds intriguing, let’s talk.
-
Yes, and we often do. Many of our projects span across departments—like aligning marketing with operations, or pairing digital adoption with internal training. Because we bring a generalist lens, we’re good at connecting dots between systems, people, and strategy. We’ll help you prioritize what matters most and sequence the work in a way that feels manageable.
-
Absolutely.
While we’re proudly based in Atlantic Canada, we work with clients (and have team members) across the country—and occasionally beyond.
Our team is virtual and experienced with remote collaboration. Whether you’re around the corner or across the continent, we’ll meet you where you are (and yes, we still show up in person when it counts).
-
It usually starts with a conversation. We offer a free discovery call to learn more about your organization, your goals, and what’s getting in the way. From there, we’ll recommend the right next step—whether that’s a scoped project, a smaller assessment, or even a referral to someone else if we’re not the best fit.
There’s no pressure, no complicated intake process, and no obligation. Just a real conversation to see if we can help.
-
We’ve seen many organizations successfully access funding or subsidies to support modernization, training, or technology adoption projects. While the specific programs vary by region and industry, there are a few general strategies we recommend:
Stay connected to your local economic development organizations—these relationships matter. The best funding programs are often unadvertised, but trusted contacts within those agencies will reach out when they know your priorities and plans.
Check in with industry associations (locally, nationally, or internationally). Many publish funding directories or can connect you to people who’ve navigated similar programs. This also applies to organizations supporting women-led, Indigenous-led, youth-led, or rural businesses.
Training-related funding is often overlooked. Many of our projects involve skill development, so identifying and separating the training components can open doors to professional development or upskilling support.
Use caution with grant writing services. A good funding partner can be incredibly helpful—but there are also services that overpromise and underdeliver. We’re happy to refer you to reputable professionals we’ve seen do excellent work.
We’re not funding experts, but we’re happy to share what we’ve seen work, help scope projects to align with available programs, or provide the documentation you need to apply.
