Your privacy matters to us. This policy explains how Iron House Pro collects, uses, stores, and protects personal information when you visit our website, complete a form, use one of our landing pages, or respond to a social media campaign.

This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, who we share it with, and the choices and rights available to you. It applies to:

  • Our website at www.ironhousepro.com and any subdomains we operate (including our bookkeeping and assessment tools);

  • Landing pages, forms, and booking tools we host or operate through Zoho (including Zoho Bookings, Zoho CRM, Zoho Forms, and Zoho Campaigns, or successor tools);

  • Our social media pages and profiles (including LinkedIn, Facebook, Instagram, YouTube, Spotify, and Apple Podcasts), to the extent we control the information collected there; and

  • Any other form, survey, download, event registration, or data collection point through which you provide us with personal information.

We refer to all of the above collectively as our "Services." By using our Services, you acknowledge the practices described in this Policy. If you do not agree with this Policy, please do not use our Services.

Iron House Productions Inc. is the entity responsible for the personal information described in this Policy (the "data controller" for UK/EU purposes and the "organization" for Canadian privacy law purposes).

2.1 Information You Provide Directly

We collect personal information you choose to give us, including when you:

  • Complete a contact, inquiry, or "book a call" form on our website or a Zoho landing page;

  • Book a discovery call or meeting through Zoho Bookings;

  • Complete our Foundations Assessment or any other diagnostic tool;

  • Subscribe to our newsletter, podcast updates, or marketing communications;

  • Register for a webinar, event, or download a resource;

  • Correspond with us by email, phone, or through social media (including direct messages, comments, and reviews);

  • Engage us as a client, including through onboarding, contracting, and invoicing; or

  • Apply for a role with us.

Depending on the interaction, this may include: your name, job title, company name, email address, phone number, mailing address, meeting preferences, the content of your message or inquiry, information about your business you provide through the assessment tool, billing and payment details, and any other information you choose to share with us.

2.2 Information Collected Automatically

When you visit our website or landing pages, we and our service providers may automatically collect certain technical information, including:

  • IP address and approximate location (city/region level);

  • Browser type and version, device type, and operating system;

  • Pages viewed, links clicked, referring/exit pages, and time spent on pages;

  • Date and time of visit; and

  • Information collected through cookies and similar technologies (see Section 4).

2.3 Information from Third Parties and Social Media

  • Information you make public or share with us when you interact with our social media pages (comments, messages, reviews, follows) is collected under the privacy policy of that platform, as well as this Policy where we control the interaction;

  • Information from business tools we use to operate our Services, such as scheduling confirmations from Zoho Bookings or engagement data from Zoho Campaigns; and

  • Publicly available business information (for example, from company websites or LinkedIn) that helps us understand a prospective client's organization before or during a discovery conversation.

3. How we use your information

We use personal information for the following purposes:

  • To respond to inquiries and provide the information, quotes, or services you request;

  • To schedule, confirm, and follow up on discovery calls and meetings;

  • To deliver and interpret results of our Foundations Assessment;

  • To provide, manage, and improve our consulting and bookkeeping services to clients;

  • To send marketing communications, newsletters, and podcast updates, where you have consented or as otherwise permitted by law, always with the ability to opt out;

  • To operate, secure, and improve our website and tools, including diagnosing technical issues and understanding aggregate usage patterns;

  • To maintain business records, invoicing, and accounting;

  • To comply with legal, tax, and regulatory obligations; and

  • To protect the rights, property, and safety of Iron House Pro, our clients, and others.

We do not use automated decision-making that produces legal or similarly significant effects about you without human involvement.

4. Cookies & Similar Technologies

Our website (built on Squarespace) and our Zoho-hosted landing pages and booking tools may use cookies and similar technologies (such as pixels and local storage) to:

  • Operate core site and booking functionality;

  • Remember preferences and improve performance;

  • Understand aggregate traffic and engagement through analytics tools; and

  • Measure the performance of our marketing and, where applicable, support retargeting.

You can control or disable cookies through your browser settings, and where required by law we will present a cookie notice or banner allowing you to manage non-essential cookies before they are set. Disabling cookies may affect the functionality of certain tools, such as the booking calendar or assessment forms.

5. How We Share Your Information

We do not sell your personal information. We share personal information only in the following circumstances:

5.1 Service Providers

We share information with third-party service providers who perform services on our behalf and are contractually required to protect your information and use it only for the purposes we specify, including:

  • Zoho Corporation for CRM, forms, landing pages, bookings, email campaigns, and related business tools;

  • Squarespace for website hosting and infrastructure;

  • Website analytics providers (e.g. Google Analytics or similar), where enabled;

  • Email delivery and communication platforms;

  • Payment processors and accounting/bookkeeping software, for billing and financial administration; and

  • Professional advisors, such as our accountants, auditors, and lawyers, where necessary.

5.2 Social Media Platforms

When you interact with our accounts on LinkedIn, Facebook, Instagram, YouTube, Spotify, or Apple Podcasts, the operator of that platform processes your information under its own privacy policy. We encourage you to review those policies directly. We receive only limited, generally aggregated information about how users engage with our content (e.g. page analytics/insights).

5.3 Legal and Business Reasons

  • To comply with applicable law, regulation, legal process, or enforceable governmental request;

  • To enforce our agreements and policies, or to establish, exercise, or defend legal claims;

  • To protect the rights, property, or safety of Iron House Pro, our clients, or others; and

  • In connection with a merger, acquisition, financing, or sale of business assets, subject to appropriate confidentiality protections.

6. International Data Transfers

We are based in Canada, and the service providers listed in Section 5 may store and process information in Canada, the United States, the United Kingdom, the European Union, and other countries in which they operate data centres.

Where personal information originating in the UK or EU is transferred to a country not recognized as providing an adequate level of protection, we rely on appropriate safeguards, such as Standard Contractual Clauses or the UK International Data Transfer Addendum, and take steps to ensure service providers offer a comparable level of protection to that required in the jurisdiction where the information was collected.

7. Data Retention

We retain personal information only for as long as necessary to fulfil the purposes described in this Policy, including to provide our Services, maintain business and accounting records as required by law, resolve disputes, and enforce our agreements. Retention periods vary depending on the type of information and our legal obligations; for example, financial and contractual records are generally retained for the period required under applicable Canadian tax and corporate record-keeping laws (currently a minimum of six years). When information is no longer needed, we securely delete, destroy, or anonymize it.

8. Data Security

We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction, including encrypted transmission (TLS/SSL) for our website and forms, access controls limiting who within our organization can view client information, and reliance on reputable service providers (including Zoho and Squarespace) that maintain their own security and compliance programs. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information as required by law, we will notify affected individuals and relevant regulators in accordance with applicable breach-notification requirements.

9. Your Privacy Rights

9.1 Canada (PIPEDA and applicable provincial law)

If you are located in Canada, you have the right to access the personal information we hold about you, request correction of inaccurate or incomplete information, withdraw consent to certain uses (such as marketing) at any time, subject to legal or contractual restrictions, and make a complaint to us or to the Office of the Privacy Commissioner of Canada if you believe we have not handled your information appropriately.

9.2 United Kingdom and European Economic Area

If you are located in the UK or EEA, you have the right, subject to certain exceptions, to request access to, correction of, or deletion of your personal information, restriction of or objection to certain processing, data portability, withdrawal of consent at any time where processing is based on consent, and to lodge a complaint with the UK Information Commissioner's Office (ICO) or your local supervisory authority.

9.3 Other Jurisdictions (including U.S. state privacy laws)

Depending on where you live, you may have similar rights under applicable state privacy laws (for example, the right to know, delete, or correct personal information, and to opt out of targeted advertising or the "sale or sharing" of personal information, which as noted above we do not engage in). To exercise any of these rights, contact us using the details in Section 13; we may need to verify your identity before responding, and we will respond within the timeframe required by applicable law.

10. Marketing & Opt-Out

If you receive marketing emails from us (including through Zoho Campaigns), you may opt out at any time by using the unsubscribe link included in each email or by contacting us directly. We will continue to send you non-marketing communications, such as transactional messages related to services you have engaged us for.

11. Children's Privacy

Our Services are intended for business audiences and are not directed to children. We do not knowingly collect personal information from individuals under the age of 16. If we learn that we have inadvertently collected such information, we will take steps to delete it promptly.

12. Third-Party Links

Our website, landing pages, and social media content may contain links to third-party websites or platforms we do not control (for example, podcast hosting platforms or client resources). This Policy does not apply to those third-party sites, and we encourage you to review their privacy policies before providing personal information.
